Terms & Conditions of Hire

These Terms and Conditions apply to all bookings made with events by ziora, a trading name of Ziora Enterprise Ltd ("the Company"). By paying a booking fee, deposit, or invoice, the Client agrees to these Terms and Conditions.
1. Definitions
Company means Events by Ziora / Ziora Enterprise Ltd.
Client means the person, company, organisation, venue, or representative making the booking.
Goods means all items hired, supplied, delivered, installed, or collected by the Company including but not limited to chair covers, sashes, centrepieces, flower walls, backdrops, arches, LED letters, neon signs, table décor, linens, charger plates, props, and furniture.
Venue means the event location specified on the booking confirmation.
2. Booking Confirmation
2.1 A booking is confirmed only when the required booking fee/deposit has been received.
2.2 All quotations are valid for 14 days unless otherwise stated.
2.3 Prices may be revised if the Client changes the booking requirements after accepting a quotation.
2.4 Availability of stock is not guaranteed until the booking fee has been paid.
3. Payments
3.1 A non-refundable booking fee of 25% is required to secure the event date.
3.2 The remaining balance must be paid no later than 28 days before the event date.
3.3 Bookings made within 28 days of the event date require full payment at the time of booking.
3.4 Failure to pay the final balance by the due date may result in cancellation of the booking and forfeiture of all monies paid.
3.5 The Company reserves the right to refuse delivery or installation where payment has not been received in full.
4. Security Deposits
4.1 Certain items may require a refundable security deposit.
4.2 Security deposits will be returned within 7 working days after collection and inspection of hired goods.
4.3 Deductions may be made for:
Missing items
Breakages
Damage
Excessive staining
Specialist cleaning
Repairs
Replacement costs
4.4 Where replacement costs exceed the security deposit amount, the Client remains liable for the outstanding balance.
5. Responsibility for Hired Items
5.1 All hired items remain the property of Events by Ziora at all times.
5.2 Responsibility for hired goods transfers to the Client immediately upon delivery and remains until collection.
5.3 The Client is responsible for ensuring goods are protected from:
Theft
Loss
Damage
Weather conditions
Fire
Candle wax
Food and drink spills
Children
Pets
Misuse
5.4 Goods must not be removed from the agreed venue without written permission.
6. Damage, Loss & Replacement
6.1 The Client agrees to pay the full repair or replacement value of any item that is lost, stolen, damaged, destroyed, or not returned.
6.2 Damage includes but is not limited to:
Burns
Wax damage
Tears
Rips
Permanent staining
Ink marks
Paint
Glue
Mould or mildew
Water damage
Missing components
6.3 Replacement costs are based on current market value and supplier costs.
7. Delivery, Installation & Collection
7.1 Delivery and collection times will be agreed in advance.
7.2 The Client must ensure the venue is accessible at the agreed times.
7.3 Delays caused by the Client, venue, venue staff, or third-party suppliers may incur additional charges.
7.4 Additional venue visits requested by the Client may be chargeable.
7.5 Collection may occur after the event, the following day, or at another agreed time.
8. Venue Access
8.1 The Client is responsible for ensuring venue access is available at agreed times.
8.2 If access is denied, restricted, or delayed, the Company shall not be liable for any resulting delays or incomplete installations.
8.3 Any additional costs arising from access restrictions may be charged to the Client.
9. Outdoor Events
9.1 Outdoor installations are carried out entirely at the Client's risk.
9.2 The Company reserves the right to refuse installation outdoors where weather conditions present a risk to staff, equipment, or guests.
9.3 The Company accepts no responsibility for damage caused by wind, rain, heat, storms, or other adverse weather conditions.
10. Flower Walls, Arches & Large Installations
10.1 Flower walls, arches, LED letters, neon signs, and large decorative structures must not be moved once installed.
10.2 The Client accepts responsibility for any damage caused by guests, venue staff, or third parties.
10.3 Children must be supervised around decorative installations at all times.
10.4 The Company accepts no liability for injuries resulting from misuse or interference with installations.
11. Balloons & Fresh Florals
11.1 Balloon displays are affected by temperature, weather, sunlight, and venue conditions.
11.2 The Company cannot guarantee balloon displays will remain in their original condition throughout the event.
11.3 Fresh flowers are natural products and variations in colour, size, shape, and lifespan may occur.
12. Photography & Marketing
12.1 The Company reserves the right to photograph event setups before guest arrival.
12.2 Images may be used for:
Social media
Marketing materials
Website galleries
Promotional campaigns
12.3 Personal information relating to the Client will not be disclosed.
13. Changes to Bookings
13.1 Changes must be submitted in writing.
13.2 Amendments are subject to stock availability and may incur additional charges.
13.3 Guest numbers may be increased subject to availability.
13.4 Reductions in quantities may not reduce the original booking value once final payment has been made.
14. Cancellation Policy
14.1 The booking fee/deposit is non-refundable.
14.2 If the Client cancels:
More than 8 weeks before the event: Deposit retained.
Between 4 and 8 weeks before the event: 50% of total booking value payable.
Less than 4 weeks before the event: 100% of total booking value payable.
14.3 Date changes will be accommodated where possible and are subject to availability.
15. Force Majeure
15.1 The Company shall not be liable for delays or failure to perform obligations due to events beyond reasonable control including:
Severe weather
Flooding
Fire
Pandemic
Government restrictions
Road closures
Power failures
Venue closure
15.2 In such circumstances, the Company will use reasonable efforts to reschedule services.
16. Liability
16.1 The Company's total liability shall not exceed the value of the booking.
16.2 The Company shall not be liable for:
Loss of profits
Loss of earnings
Indirect losses
Venue-related issues
Third-party supplier failures
16.3 Nothing in these Terms limits liability where prohibited by UK law.
17. Social Media & Online Bookings
17.1 Bookings made via:
Website
TikTok
are subject to these Terms and Conditions.
17.2 Payment of a deposit or invoice constitutes acceptance of these Terms.
18. GDPR & Privacy
18.1 Personal information provided by Clients will only be used for booking administration and customer service purposes.
18.2 Information will never be sold to third parties.
18.3 By making a booking, the Client agrees to be contacted regarding their event and related services.
19. Acceptance
Payment of any deposit, booking fee, or invoice confirms that the Client has read, understood, and accepted these Terms and Conditions.
